For any activity under your student group, York SU are legally responsible for what you do! This applies to any events that occur off-campus too.
This means that you still have to submit an events application through your member dashboard, with a specific risk assessment.
This should detail the measures in place to ensure your event will adhere to the above regarding student only, including what space you have booked in the venue, this should be either the entire venue or a floor/ area where access to the general public should be controlled.
In order to meet our insurance, liability and obligations, any club night activity must be for University of York students only. Student IDs will be checked on the door of our official club nights.
The admission requirement (on top of any age variation the venue requires) is a valid, in date, University of York student ID. A UoY student can bring a guest, as long as that guest is studying at another university, and has valid, in date student ID from that university.
You can restrict tickets on your event application to be for 'Student Members' only.
We encourage you to organise your event with York Parties, who are York SU's official clubnight partner. This will be a lot easier, as you won't have to get in touch with York Parties for a public liability insurance (PLI).
As part of our partnership, we have welfare and wellbeing mitigations that York Parties is contractually bound to. Furthermore, York SU has a reporting form for York Parties nights that students can report from, in case anything goes wrong during your event.
Because of our partnership with York Parties, you cannot book with another 3rd party club night provider (e.g. YorPartyNetwork, Electrify, OffBeat Events). Club night providers are companies that organise club nights with the clubs. We do not have the same safety mitigations in place with these and would be a direct breach of our contract with York Parties.
If you choose to deal with the venue directly (venues are individual clubs/ late night venues such as Revolution, or Popworld), you must provide your link staff member and advertising@yorksu.org copy of the venue's valid public liability insurance, and also any contract or agreement must be agreed by York SU before signing.
If dealing with a venue directly, make sure that they don't clash with the following York Parties nights:
Sundays at Revolution
Wednesdays at Salvation
Fridays at Salvation
York SU will take no responsibility for any loss of income, damage to equipment or liability for anything that has not been submitted to York SU before signing.
You must submit an events application, alongside a specific risk assessment for your event, like any other off-campus event. York SU can then sign off on your event and also upload your event to your SU page!
