Ask for a quote before signing anything!
Venues may pressure you to sign contracts before you know how many members are able to attend your formal. Before signing anything, ask for a rough estimate of costs, so that you know what to work towards.
Create a product application for deposits for the ticket.
This is to ensure that you have enough interest for the formal, and that you have enough money to make a desposit and cover some of your venue costs.
Once you have generated enough interest, discuss your booking with the selected venue, and send a copy of the contract to your link staff member before signing off on this! Please also include the steps you have taken to ensure that you have ebough interest for the formal, and that your group can confidently pay the venue costs.
This is to ensure that your group can pay the venue securely. The organisation of your formal should be a committee decision, wherein your Treasurer can advise on if the formal is something that your group can afford!
Submit an events application 7 days before your tickets go live (21 days in advance if you are bringing an external speaker!).
This will give staff enough time to review your application and feedback on your application, and for you to make changes before your tickets go live.
