Off-Campus Club Nights

If your group would like to hold off campus events in licensed premises, you are still insured by York SU and we still have the same liability and obligations as we would on campus.


In order to meet our insurance, liability and obligations, any club night activity must be student only. 


Our official Club Nights and Official Club Night partner adhere to this, and the same applies to any organised group activity for an off campus clubnight. Ultimately we are here for our members. The admission requirement (on top of any age variation the venue requires) is a valid, in date, York University student ID. A York student can bring a guest, as long as that guest is studying at another university, and has valid, in date student ID from that institution.


You can organise your event with the venue directly but like any student-led event you will need to provide a Specific Risk Assessment as part of a SUMS Event Application. This should detail the measures in  place to ensure your event will adhere to the above regarding student only, including what space you have booked in the venue, this should be either the entire venue or a floor/ area where access to the general public should be controlled. 


If you choose to deal with the venue directly you must provide us with a copy of their valid PLI, and also any contract or agreement must be agreed by York SU before signing. York SU will take no responsibility for any loss of income, damage to equipment or liability for anything outside of our control.


You can also organise via the Official York SU Clubnight partner. They will take care of the above on your behalf. We can not sign off on any activity with any other 3rd Party. For clarity a 3rd party is anyone other than the Student group and the venue directly. This is on insurance, liability, welfare and safety grounds, when a 3rd party is involved it adds a layer of complexity to the agreement which is mitigated by our contract with our Official Club Night contract, also part of the tender for the official nights includes a level of welfare and wellbeing which our Official Partner is contractually bound to adhere to. 


If you already have an agreement with our Official Clubnight partner for sponsorship or any other agreement with them, please check with them if you are planning to run an event at the same time as one of the official nights (Tuesday, Wednesday, Thursday or Sunday) as it may be against your agreement or contract.
